Planning tips
Getting every reply in on time
Work back from the caterer's deadline
Most caterers and venues want final numbers a week or two before the party, so set your reply-by date about three weeks out. That leaves a few days to chase anyone who hasn't answered and still gives the kitchen the figure they need. Put the date on the invitation in plain words, such as “Please reply by Saturday 14 June”, rather than “RSVP ASAP”.
Chase late replies kindly
A short, friendly message usually works better than a second invitation: “Just finalising numbers for the caterer, will you be able to make it?” Filter the tracker to show only people who haven't replied, work down that list once, then make your best guess for anyone still silent and note it so you remember.
Decide on plus-ones and children first
Agree who gets a plus-one, and whether children are invited, before a single invitation goes out. Changing it later causes awkward conversations. Record it per guest in the tracker so the headcount, the seating and the food numbers all match from the start.
Tim’s tip
Chase non-replies a few days before your venue or caterer needs final numbers, not on the deadline itself. A short, friendly message usually gets a quick answer.

Common questions
Does the guest list save automatically?
Yes — this tool saves your guest list in your browser automatically as you add entries, so you can close the page and come back to find it still there on the same device.
Can I track dietary needs and plus-ones?
Yes. Each guest can have a plus-one added with their own name, plus any dietary needs or notes, which are pulled together into a separate dietary needs summary ready to hand to your caterer.
How do I share my guest list with a caterer or venue?
Use "Copy guest list" to copy the whole list as text, or "Print" to save it as a PDF — either is easy to paste into an email or hand over as a printed sheet.
