Why a Quick Reply to Wedding and Event Suppliers Matters

Ghosting wedding and event suppliers is surprisingly common, and it usually happens by accident. Planning a celebration is busy, and replies easily slip down the list.
I’m Tim Daymond, a DJ since 1976, and I want to be honest about this. Many colleagues across the events industry have shared their own ghosting stories. So here is a gentle reminder, plus some ready-made wording to make replying painless.
What Ghosting Wedding and Event Suppliers Means
Ghosting simply means going silent after contacting someone. For example, you send a quote request, the supplier replies quickly, and then you never respond.
It rarely comes from bad intentions. Life gets hectic, especially when you’re juggling venues, dresses, caterers and guest lists all at once.
Often, couples feel awkward saying no, or they simply forget. However, the supplier is left waiting with no answer either way.

Why Ghosting Wedding and Event Suppliers Causes Real Harm
Most wedding and event suppliers are small businesses where every client genuinely counts. Many are sole traders, just like me.
- Planning income: Suppliers need to forecast their earnings accurately. Also, unanswered quotes make that almost impossible.
- Rising costs: The cost of living has pushed up fuel, insurance and equipment prices for everyone.
- Lost time: A detailed proposal can take a considerable amount of preparation.
- Missed bookings: A supplier may turn away another couple while waiting for you.
So a reply is more than simple courtesy. In fact, for independent firms it is essential to their long-term survival.
What to Say Instead of Ghosting Wedding Event Suppliers
Whether your answer is yes, no or undecided, please let suppliers know. A polite decline takes seconds, and nobody will take offence.
If you’ve chosen someone else. Try something like: “Thank you, but we’ve decided to go in a different direction.” That’s all a supplier needs.
If it’s over budget. Alternatively, try this: “Your work is wonderful, but sadly it’s over our budget.” Suppliers completely understand, I promise you.
If you’re still deciding. Then simply say when you expect to decide. As a result, the supplier can plan around your timeline honestly.
Tim’s tip: Keep a simple list of every quote request you send. Then tick each one off once you’ve replied.
Why Suppliers Can’t Hold Your Date Forever
Suppliers can only be in one place on any given day. Therefore, if another client is ready to book on the spot, they may not hold your date indefinitely.
That applies to weddings, birthdays and anniversaries and retro disco nights alike. Still, a quick update keeps the conversation friendly and honest.
Besides, with the cost of living so high, an empty date really hurts. It’s fine to say no, thank you. However, it’s really not fine to leave someone waiting without an answer.
How I Handle Your Enquiry
Respect works both ways, so I try to make replying easy for you. I publish my prices openly, and there’s no pressure to commit.
- Check your date. Enter it on my availability checker.
- Receive your proposal. I usually reply within two to three hours during business hours.
- Decide in your own time. Then tell me yes, no or not yet.
- Secure your date. A 45% deposit by card or bank transfer confirms the booking.
I’m also Trading Standards Approved under the Norfolk County Council scheme. Before you choose anyone, read my guide to booking a DJ in Norfolk. You can also compare DJ prices openly.

Questions About Ghosting Wedding and Event Suppliers
Is it rude to ignore a quote?
Not rude exactly, but a short reply is kinder. It also frees the supplier’s date for someone else.
Do I have to explain why I said no?
No, a polite decline is enough. Still, mentioning budget helps the supplier understand.
Will a supplier try to change my mind?
A professional supplier will simply thank you. So you can say no with confidence.
How long should I take to reply?
Ideally within a week. Otherwise, tell the supplier when you expect to decide.
Ready to Check Your Date?
Popular dates fill quickly, so check yours while it’s still available. And if you decide against me, a quick no is always welcome.
