Add the table number after a comma (Sarah Johnson, 3), or type a heading such as Table 3 and list that table’s guests underneath. Columns copied from Excel or Google Sheets work too. For a table name instead of a number, use a bar: Sarah Johnson | Hawaii.

Questions

Seating Plan Poster: common questions

What events is the seating plan poster for?

Any event with a seated meal, such as a wedding breakfast, anniversary dinner or awards night. Paste your guest list with table numbers or names, or tick the option to seat guests automatically. It works for up to 300 guests, and you can show the plan table by table or as an A–Z list so people find their own name quickly.

How do I print a large seating plan?

Choose the paper size before you download the PDF. A4 suits a home printer; if printing at home, choose Actual size. A3, A2 and A1 are best printed at a print shop, so take the PDF on a memory stick or email it to them. Ask whether they can mount it on foam board for an easel.

Is my guest list stored or uploaded?

No. The names you paste are used inside your browser to lay out the preview and create the PDF or JPG. Nothing is saved to your device's storage and nothing is sent to Mobile Disco Network or any other server. Keep your own copy of the list, as it is cleared when you close the page.

Should the plan list guests by table or alphabetically?

For a larger event, an A–Z list is usually quicker for guests, because they only need to find their own name and table number. A table by table layout looks good and suits smaller events, where people like to see who they are sitting with. Either way, place the poster where guests arrive so the doorway does not get crowded.

Tim’s tip

Place the seating plan where guests can stand and read it without blocking the entrance to the room. A clear space in front of it keeps people moving when everyone heads in at once.
