Christmas party planning checklist

This free Christmas party planning checklist counts down to the big night. Everything to sort before your festive party, organised by how many weeks you've got left. Tick things off as you go — nothing left to the last minute.

4 stages, 24 tasks Tick off as you go Free, no sign-up

Your countdown checklist

Work through each stage as your party gets closer — everything's grouped by how much time you've got left.

December is the busiest month in the diary for venues, caterers and DJs alike, so the earlier a task can be ticked off, the better. Working backwards from your party date in these four stages — 6+ weeks before, 2–3 weeks before, the week of and the day itself — helps you spread the workload and book the popular dates and suppliers before they're gone, rather than scrambling in the final fortnight.

Tim’s tip

December Fridays and Saturdays go first, so book the venue and DJ before anything else. If your date is fixed, ask for a playlist chat in the week before so the music suits your crowd.

Common questions

How far in advance should I book a Christmas party DJ or venue?

As early as you can — ideally by the "6+ weeks before" stage. December weekends are the most heavily booked dates of the year for venues, caterers and DJs, so the popular Fridays and Saturdays can be gone months ahead. Locking in your date and key suppliers first means everything else on the checklist can follow at a more relaxed pace.

What's included in the checklist?

24 tasks across four stages — from booking your venue, DJ and caterer, through invites, decorations and food orders, down to last-minute jobs on the day itself. It covers the planning essentials rather than every possible extra, so there's always room to add your own touches.

Does the checklist save my progress?

Not automatically — your ticks are only kept while the page stays open, so they won't be there if you close the tab or reload. Use "Copy checklist" or "Print" before you leave the page to keep a record of what you've done, then pick up where you left off next time.
